HMRC is sending out Making Tax Digital (MTD) demand letters right now. This marks the beginning of a huge burden for sole traders and landlords who already file Self Assessments.

This shift has been looming for a long time, but it arrives just as the Treasury signals tax increases for small businesses and working people. If you thought HMRC might scrap Making Tax Digital, you were wrong. Everything is about to change for the self-employed: five tax returns a year, higher costs, and stricter fines.

If one of these letters lands on your doormat, do not ignore it. Here is exactly what it means, who is affected, and what you need to do immediately to protect your business.

What the Demand Letters Actually Say

The first batch of letters is hitting doormats across the UK. If you filed your 2024/25 Self Assessment early, you are likely in the first wave.

The letter is clear:

  1. You must sign up for Making Tax Digital for Income Tax.
  2. You must be ready to use the service from 6th April 2026.
  3. You will no longer be able to submit returns via the HMRC website—you must use compatible software.

Crucially: These letters go to you, not your accountant. If you miss it or ignore it, you are the one liable for the penalties.

Who Is Caught in the MTD Net?

If you receive this letter, there is no debate: you have declared more than £50,000 of gross income (turnover) on your 2024/25 tax return.

Remember, this threshold is based on income before expenses, not profit.

  • April 2026: Mandatory for income over £50,000.
  • April 2027: Mandatory for income over £30,000.
  • April 2028: Expected to drop to £20,000.

Key Takeaway

If your gross income is over £50,000, MTD is mandatory from April 2026. This means you will move from filing one annual return to five filings a year. The new points-based penalty system means missing any of these new deadlines will lead to immediate fines.

Even if you earn £20k now, do not get comfortable—the government is reviewing whether to drag you in soon.

Why MTD Means “Making Tax Difficult”

Internally, we call MTD “Making Tax Difficult” because it triples your administrative workload.

Instead of one annual return, you will now file five returns a year:

  • 4 Quarterly Updates (every 3 months)
  • 1 Final End of Year Statement

That is five deadlines to meet, five chances to make a mistake, and five opportunities for HMRC to issue a fine.

The New Penalty System

HMRC has overhauled the penalty regime. While they claim to be lenient on “one-off mistakes,” the points-based system is designed to catch you out.

  • 4 Penalty Points: Triggers a £200 fine.
  • Subsequent Misses: Another £200 fine every time.
  • Record-Keeping Failures: Fines up to £3,000.

This isn’t about making tax easier. It is about making it easier for HMRC to extract revenue through fines and data collection.

You might be able to opt-out entirely. Let us review your business structure today.

Your Options: Software vs. Spreadsheets

HMRC will not provide free software. You must choose a solution, and this will cost you money.

Option 1: Full Accounting Software

Platforms like Xero, QuickBooks, or FreeAgent.

  • Cost: £20–£50 per month.
  • Best for: Complex businesses with lots of invoicing.
  • Drawback: Expensive and requires time to learn.

Option 2: Spreadsheets + Bridging Software (Recommended)

Most sole traders already use Excel. You do not have to abandon it.

  • Cost: Much cheaper than full software.
  • How it works: You keep your current spreadsheet, send it to us (or use a bridging tool), and we handle the digital submission to HMRC.
  • Benefit: No learning curve, lower cost, same compliance.

The Escape Route: Forming a Limited Company

There is a legitimate way to opt out of MTD for Income Tax entirely.

HMRC confirmed in July 2025 that Limited Companies are NOT part of MTD for Corporation Tax and there are no current plans to include them.

  • Sole Traders: 5 filings a year.
  • Limited Companies: 1 filing a year.

If you are earning over £50k, incorporating might save you from the quarterly reporting nightmare. It also offers potential tax savings, liability protection, and better credibility.

We offer a full Business MOT to review your situation and calculate if going Limited is the right financial move for you.

What To Do Right Now

  1. Check Your Post: If you get an MTD letter, act immediately.
  2. Review Your 24/25 Return: If you haven’t filed yet, be precise with your income. Ensure you aren’t overstating income that pushes you over the £50k threshold unnecessarily.
  3. Get the Action Plan: We have created a Free MTD Action Plan that covers deadlines, software choices, and penalty prevention. Download it here.

This system is designed to be complicated. It squeezes the small business owner while big corporations have armies of accountants. The only defense is preparation.

Need help? If your current accountant doesn’t understand MTD, or if you don’t have one, book a free consultation with us. We can help you choose the right software, manage the filings, or help you transition to a Limited Company to avoid the MTD net entirely.
